    Vendor Set-Up and Tear-Down

Vendors may set up their booth the day before the event from 12:00 pm to 6:00 pm, and on the morning of the event from 8:00 am to 11:30 am. Vendors must have their booths ready by 11:30 am and must not dismantle their booth until an hour before the festival is set to end. Vendors should be prepared to fully stock the booth for the entire day. Please unload your vehicle and move it to a designated parking zone before setting up your booth. Likewise, please have your booth packed up and ready to go before bringing your vehicle in for loading. No vehicles may be brought into the festival area at any time the event is open to the public. Vendors are required to clean up and take all debris from their booth spaces when they leave.

Vendor payments are non-refundable. Should Dallas Lavender Lane Farm find it necessary to cancel, the farm agrees to refund all money paid by the vendor within 30 days of such cancellation.

    Additional Rules and Procedures

Booths must be staffed by vendors at all times. We ask that vendors do not smoke at their booths and at least step to the fence-line. Please dispose of all cigarette butts properly, we have free-roaming farm animals, and they can get sick if they ingest them. No pets are allowed at the farm, service animals are permitted but must be kept at your booth or on a leash at all times. Children who accompany you to the festival must be supervised at all times. Dallas Lavender Lane Farm reserves the right to remove any vendor or participant from this and further events for unacceptable behavior and/or non-compliance with the rules and procedures of the festival.

    Rules Specific to Food Vendors

All propane tanks and tubing must be secured to prevent tipping/rolling. Fire extinguisher(s) with a minimum 2A rating is required. If using a deep fat fryer, a class K portable fire extinguisher is required as well. You are required to provide appropriate containers for disposing of grease. Dumping grease, coffee grounds, etc. on the grass or down the sink is not allowed. This is extremely important because ingesting these items can cause injury or death to our free roaming animals. Food vendors must provide us with accurate space requirements for their truck or booth. If you show up with a set up larger than informed, you may be turned away upon arrival.

    Liability and Insurance

Dallas Lavender Lane Farm locks all property gates at the end of the day and we have staff on property overnight. However, the vendor agrees to indemnify and hold harmless Dallas Lavender Lane Farm, its employees, and its officers, from claims arising out of its participation in the 2022 Jeep Rocktober Festival, including claims caused by the negligence, errors or omissions of Dallas Lavender Lane Farm. Dallas Lavender Lane Farm will take all reasonable precautions to protect vendors from such loss. Such indemnification shall include, but shall not be limited to, indemnification for all legal fees and costs that may be incurred by Dallas Lavender Lane Farm in connection with the defense of any claim brought by any third party relating to or arising from the event that is the subject of this agreement or in connection with Dallas Lavender Lane Farms enforcement of this provision.
